If you are running your own business either as a sole trader or limited company an effective invoicing procedure is a must if you are going to maintain the financial health of your business.
A quick, efficient and easy way of invoicing clients is to use an invoice template.
The invoice template can be created for free in applications such as Microsoft Word or Excel or you can download an invoice template from the internet – many of which are available to use for free.
An invoice template should include placeholders for all the essential information that your client will require if you are going to get paid quickly and on time. Errors in your invoice can result in delayed payment, and extra work for you as you have to spend time correcting and resubmitting.
Normally invoices will include a clear heading ‘invoice’ at the top together with your company logo.
A good invoice template will include your company name and address, together with any additional contact details. You should include space for an invoice number and for some companies their purchase order number. The invoice template should leave space for the invoicing date.
Under you company information you will then need to list the services or products you have provided and the associated costs alongside them – unless you are offering them for free!
You may need to include VAT in you calculations if you are VAT registered.
At the bottom of the invoice you will need to state you payment terms, eg “payment within 30 days” and the method of payment – this could be by cheque or by electronic transfer. You will need to provide your payee details in either case.
When you send out an invoice, it will need to include the client’ name and address.
The advantage of using an electronic invoice template is that invoices can easily be converted to pdf and emailed to the client.
You may find in that some cases your client would prefer a hard copy but this is
normally the exception rather than the rule. Excel is particularly good for creating
invoices as you can include all the necessary calculations within the template. So
